What Are Requirements?

Requirements (outfunds__Requirement__c) are any item that is necessary to complete or manage a funding request. These are designed to be used for managing requirements of the requestor, but also flexible enough to be used for internal processes.

Requirements Use Cases

  1. Monitoring Documentation Submission For applicants, supporting documentation is often required to approve a request. This can be used to ensure and manage collected or outstanding documentation and to ensure an organization is eligible before being awarded and funds disbursed. Depending on the needs of the organization, it is possible that one or more requirements must be submitted prior to disbursing funds.

Documents to track might include:

  • IRS Determination Letter stating 501c3 status
  • Organization W9
  • Fiscal sponsorship relationship document
  • For Scholarships, an essay or transcript
  1. For Requestor/Applicant Tracking For post award documentation or for continued disbursements. Many funding requests will require interim reports on progress or data at set intervals, along with final narrative reports as a requirement of being awarded funds.

Items to track might include:

  • Progress/interim reports
  • Final/close out reports
  • Required data or metrics from the field
  1. For Internal Request Processing and/or Management In addition to many options and uses for requirements assigned to the requester of funds, there are also many internal use cases that can leverage this same object and help monitor your internal process as well.

Items an organization might want to use requirements internally for:

  • Request Review, assigning the request to a staff member to validate supporting documentation, mission/program alignment
  • Award and disbursement monitoring, staff could be assigned to verify program fund availability or other accounting related checks & balances before funding is awarded.

Requirements & Automation

An organization could also use automation tools like Process Builder or Workflow Rules to further extend the assignments made to staff or contacts on a requirement.

Suggestions include:

  • Send Reminders on upcoming Requirements for Reports.
  • When a Request is Approved, send a message or assign a task to accounting staff to process disbursements.
  • Send Award Letters, Email Confirmations to requestors to keep them notified of the Request status.
